How to reduce no-shows with automatic reminders

No-shows cost time and revenue. See how online booking with automatic reminders reduces no-shows without giving you more work.

An unannounced no-show costs more than the empty minutes on the calendar: it's time that could have gone to someone else, and it's revenue that doesn't come in. The good news is most no-shows aren't about unwillingness — they're about forgetting. And forgetting is solved with a timely reminder.

Why reminders work

On average, days pass between booking and the appointment date. That's enough time for it to slip the booker's mind, especially if it was made over WhatsApp or by phone and never got recorded anywhere the client controls. An automatic reminder — sent close to appointment time — brings the commitment back to mind exactly when action is needed: confirm, reschedule, or just show up.

How this works in Link Meet

When someone books through your page, the system automatically sends, with no work on your part:

  • A confirmation email as soon as the booking is made, with the date, time, and anything they need to know before the appointment.
  • A reminder before the appointment, with the option to reschedule directly from the email.
  • A notice if the appointment is rescheduled or cancelled, so both sides stay in sync.

Every one of these emails is already tied to the booking, so there's no chance of forgetting to send them — and they don't go through you, which also means fewer messages to type by hand every day.

What else helps

  1. A clear cancellation policy. Make it explicit on your page how late a client can cancel or reschedule for free. This doesn't prevent forgetting, but it reduces last-minute no-notice cancellations.
  2. Making it easy to reschedule. Someone who knows they can't make it would rather reschedule than simply not show — but only if it's easy. A direct link in the reminder email solves this.
  3. An intake form before the first appointment. Asking for a few details before the first session raises commitment — someone who's already invested time filling in a form is less likely to skip it.

What this doesn't replace

Reminders reduce no-shows caused by forgetting; they don't fix no-shows caused by genuine last-minute unavailability. For those, a cancellation policy and easy rescheduling are what actually protect your calendar.

FAQ

Are reminders sent by SMS or email?

For now, Link Meet sends confirmations and reminders by email. It's the channel that covers confirmation, reminder, and change notices with no extra cost per message.

Can I choose which notifications get sent?

Yes, each type of notice (confirmation, reminder, cancellation, reschedule) can be turned on or off individually under Settings → Notifications. The reminder is sent the day before the appointment.

Does the client need to create an account to get reminders?

No. Emails are sent to the address given at booking time, with no sign-up or password required.
